This Privacy Policy explains how CMchat (“CMchat”, “we”, “us”) collects, uses, stores, shares and protects personal data when you use our website and our SaaS platform (the “Service”). It also explains your rights under applicable data protection laws. CMchat is a platform that lets customers centrally manage their social media accounts from a single dashboard.

1. Who we are

CMchat provides a cloud-based SaaS platform that helps businesses and teams centrally manage social media accounts and related communications. In this Privacy Policy, “CMchat”, “we”, “our” or “us” refers to the entity that operates the CMchat website and the CMchat Service.

2. Scope of this Policy

This Policy applies when you:

  • Visit or use the CMchat website and any pages where this Policy is displayed;
  • Register, log in and use a CMchat account;
  • Connect social media accounts (such as Facebook pages) to CMchat via official open platforms;
  • Communicate with us via email, chat, support forms or other channels.

If you access CMchat through a third-party website or application, their own terms and privacy notices may also apply. We encourage you to review them.

3. How we collect personal data

3.1 Data you provide directly

We collect personal data that you choose to provide to us, for example when you:

  • Create or update your CMchat account (e.g. name, email address, password, company);
  • Submit forms on our site, such as demo requests, contact forms or support tickets;
  • Communicate with us via email, chat or other channels and share information in that communication;
  • Provide billing or invoicing information for paid subscriptions.

3.2 Data we receive when you connect social media accounts

CMchat helps you centrally manage your social media presence. When you connect accounts (for example, Facebook pages) through official open platforms and grant us authorization, we receive data from those platforms according to your selected permissions.

This may include page information, posts, comments, private messages and basic performance metrics that we display in the CMchat dashboard to provide the Service.

3.3 Data collected automatically

When you use our website or Service, we may automatically collect certain information, such as:

  • Device and browser details (device type, operating system, browser type and language);
  • Log data (IP address, timestamps, pages viewed, features used, error logs);
  • Information from cookies and similar technologies to remember your session and preferences and to perform basic analytics.

4. What types of data we process

Depending on your interaction with CMchat, we may process:

  • Account data – such as your name, email address, username, company, role and login information;
  • Billing data – such as billing contact details, invoice details and transaction information (payment card data is typically processed by our payment provider);
  • Social media account and page data – such as connected page names, IDs, profile images, posts, comments, private messages and basic performance metrics we receive via official APIs;
  • Support and communication data – such as the content of messages you send to us, and related metadata;
  • Usage and technical data – such as how you use the Service, log data and device information;
  • Content you import – any data you upload or import into CMchat about your own users or contacts (“Customer Content”). We process Customer Content only on your instructions and on your behalf as a customer.

5. How we use personal data

We use personal data for the following purposes:

  • To provide and operate the Service. We use data to create and manage your account, connect your social media pages, display your content and conversations, and enable you to reply, schedule posts and view basic analytics.
  • To process payments and provide support. We use relevant data to process subscription payments, issue invoices, and provide customer and technical support.
  • To improve and secure the Service. We analyze aggregated usage to understand how the Service is used and to enhance performance and reliability, and we use security-related data to detect and prevent fraud or misuse.
  • To communicate with you. We may send you service-related communications (such as security alerts or important updates). Where allowed by law, and with your consent where required, we may send you information about CMchat features or offers. You can opt out of non-essential communications at any time.
  • To comply with legal obligations. We may process personal data as required by applicable laws, regulations, legal processes or enforceable governmental requests.

CMchat does not use your social media account data for its own advertising campaigns, for creating user profiles unrelated to providing the Service, or for selling such data to third parties.

6. How we share personal data

We do not sell your personal data or Customer Content to third parties. We may share data only in these situations:

  • Service providers. We work with trusted third-party providers (for example, cloud hosting, payment processing, monitoring and analytics). They are allowed to process personal data only to perform services for CMchat, under contractual confidentiality and data protection obligations.
  • Social media platforms and integrations. When you connect your social media accounts and use the Service, we exchange data with those platforms through official APIs according to your chosen settings and the platform’s own terms.
  • Legal requirements. We may disclose personal data if required by law, regulation, court order or a lawful request from public authorities, after verifying the request as appropriate.
  • Business transfers. In the context of a merger, acquisition, restructuring or similar event, personal data may be transferred as part of the transaction, subject to continued protection consistent with this Policy.

7. Retention & security

We retain personal data for as long as necessary to fulfill the purposes described in this Policy (for example, while you have an active CMchat account) or as required by law. When data is no longer needed, we will delete it, anonymize it or otherwise handle it in a secure way.

We use appropriate technical and organizational measures to protect personal data, including access controls, encryption in transit where appropriate, logging and backups. However, no method of data transmission or storage is completely secure, and we cannot guarantee absolute security.

If you revoke authorization for a connected social media account, CMchat will stop accessing new data for that account and, upon your request, will delete relevant stored data except where we must retain it to comply with legal obligations.

8. Your rights & choices

Depending on applicable law, you may have certain rights regarding your personal data, including the right to:

  • Request access to the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request deletion of personal data, in certain circumstances;
  • Object to or request restriction of certain processing activities;
  • Request a copy of personal data in a structured, commonly used and machine-readable format (data portability);
  • Withdraw consent where processing is based on your consent, without affecting the lawfulness of processing before withdrawal.

To exercise these rights, please contact us using the details in the “How to contact us” section. We may take reasonable steps to verify your identity before processing your request.

You can also manage certain choices directly, for example by updating your account settings or by adjusting cookie settings in your browser.

9. Children’s information

CMchat is intended for business and professional use and is not directed to children. We do not knowingly collect personal data from children. If you believe that a child has provided personal data to us without appropriate consent, please contact us so that we can investigate and take steps to delete such data where required.

10. International transfers

Depending on your location and the location of our infrastructure and service providers, your personal data may be processed in countries that may have different data protection laws than your country. Where required by law, we take steps to ensure appropriate safeguards are in place for cross-border transfers, such as using standard contractual clauses or equivalent mechanisms.

11. Changes to this Policy

We may update this Privacy Policy from time to time, for example to reflect changes to the Service or legal requirements. When we make material changes, we will provide notice by updating the “Last updated” date at the top of this page and, where appropriate, through additional notice (such as email or in-product notifications).

Your continued use of the CMchat Service after the updated Policy becomes effective means that you accept the changes.
